Invoices in Ekon

What is Calitem?
Calitem is the AI accounting system that automates accounts payable from document receipt to the journal entry in your ERP.
It is built for companies where each invoice may require several checks: finding the purchase order, checking what was received, allocating the expense and getting the right approval. Calitem connects that work with your accounting rules and operational systems.
If you use Cegid Ekon XRP, that work can be organized around your purchasing documents and accounting structure without replacing the ERP.
Why integrate Calitem with Cegid Ekon XRP
Check before posting
An invoice can be read correctly and still disagree with what was ordered or received. Calitem matches documents line by line and flags differences in references, quantities, prices and taxes.
Prepare expense allocation
Calitem assigns accounts and cost centers using your rules and the contents of each expense. The lines of a mixed invoice can belong to different cost centers.
Reduce repeated work
Collect invoices from your intake channels, route approvals and prepare accounting information. Your team can focus on exceptions instead of repeating the same checks for every document.
How the integration works
Calitem handles the supplier-invoice workflow before accounting registration. It identifies documents, checks the purchase and prepares information according to each company's rules. Ekon remains the system for Finance, purchasing and journal entries.
Invoices, purchase orders and delivery notes
Cegid Ekon XRP manages purchase orders, delivery notes and received invoices. Calitem uses these documents in the checking process: it extracts the invoice header and lines and identifies differences before preparing the accounting information.
Approvals can depend on the company, amount, supplier or cost center. Items within your rules can advance automatically; exceptions remain available for review.
- Checked purchases: quantity, price and tax differences stay visible.
- Prepared information: supplier, dates, lines, taxes and accounts are organized before posting.
Suppliers and invoice data
Calitem identifies the supplier on each document and associates its details with the invoice, lines and taxes. That allows accounting and approval rules linked to the supplier to be applied.
It also uses the invoice number, amount and supplier data to flag possible duplicates. The team can review the alert before the invoice proceeds to accounting.
Cost centers and analytical accounting
Ekon distinguishes the general-ledger account from an analytical allocation to a cost center. Calitem can prepare the allocation for each document or line using:
- Cost-center description. The invoice contents are matched to the relevant center.
- Supplier. A rule can associate a supplier's regular expenses with a center.
- Delivery address. A listed site, store or project helps identify where the expense belongs.
- Product on each line. Items on one invoice can be allocated to different centers.
Ekon organizes analytical accounting by accounting entity and analytical plan. In Ekon, a cost center is used only when analytical breakdown is enabled for the account. This matters when defining allocation rules.
Invoices for multiple companies
Calitem supports multiple companies and assigns each document, approval and allocation to the right legal entity. Ekon organizes its accounts by accounting entity. Teams should keep that separation clear when preparing entries.
